Occupational Summary

The Registrar manages academic records for all current and former students and supervises grading, records’ editing functions, the production of transcripts, enrollment/degree verifications, and the processing of requests from students for course changes while ensuring compliance with College policies and the Family Educational Rights and Privacy Act (FERPA). The Registrar oversees registration and scheduling functions based on an understanding of College policies and procedures and database systems. The Registrar is responsible for providing information and reports to departments across campus and to external agencies and maintains and updates Programs of Study per state and local mandates.

Essential Duties & Responsibilities

 

  • Ensures the accuracy and security of student academic records in accordance with FERPA and College policies and standard records management practices
  • Maintains and updates student records including adds, drops and withdrawals; processes grade changes
  • Oversees the production and issuance of student transcripts, and enrollment and degree verifications
  • Assists the Director of Admissions and Student Records in the development and implementation of strategies for the retention, disposition and disposal of student records
  • Oversees the College Calendar to ensure appropriate academic policies and guidelines are met in collaboration with the Director of Admissions and Student Records
  • Monitors the registration process and adds or cancels courses based on feedback from deans and associate deans
  • Oversees the graduation certification process
  • Prepares and reviews files for curriculum audit in collaboration with the Director of Admissions and Student Records
  • Researches and reports on enrollment statistics and related data for College departments and federal, state and local agencies
  • Works with Director of Admissions and Student Records to oversee the annual development of the Academic Catalog in collaboration with Instructional and Student Services Staff
  • Works with various departments to ensure up-to-date and accurate Programs of Study
  • Assists with the development of the annual class schedule in collaboration with Instructional staff 
  • Participates in appropriate committees and task forces as assigned
  • Performs other job-related duties and projects as assigned in support of the College’s mission, core values and goals

 

Minimum Qualifications

Bachelor's degree from a regionally accredited institution of higher learning.

Three (3) years' administrative experience in student records in a higher education institution.

Preferred:
Master's degree from a regionally accredited institution of higher learning.

Experience using Colleague.

Experience within the North Carolina Community College System.

  • Rules, regulations and principles of the North Carolina Community College System, as well as other state and federal laws and regulations regarding records maintenance
