Occupational Summary

The Administrative Assistant performs a range of clerical, technical and administrative support duties in support of the Arts & Sciences department. This position maintains current knowledge of appropriate college and departmental policies to ensure the efficiency of the department.

Essential Duties & Responsibilities

 

  • Provides excellent customer service and assistance to internal and external customers through walk-in, telephone and email
  • Computes, inputs, and issues contracts for adjunct instructors including receiving signed contracts within appropriate payroll deadlines
  • Provides general administrative support including preparation of memorandums, correspondence, minutes, reports, purchase requisitions, and check requests
  • Performs data entry entering information and updates into computerized programs
  • Initiates electronic forms to process new hires for the department
  • Maintains faculty textbook inventory list and library
  • Collects and analyzes data; runs, maintains and audits various reports and records
  • Maintains the Arts & Sciences Room Outlook Calendar
  • Assists with summer camps as assigned
  • Performs other job-related duties and projects as assigned in support of the College's mission, core values and goals

 

Minimum Qualifications

High school diploma or equivalent.

Two (2)  years' experience in an office environment performing administrative tasks.

Preferred:
Associate's degree from a regionally accredited institution of higher learning.

Knowledge

  • Intermediate knowledge of clerical processes and procedures and standard office procedures; practices and equipment
  • Intermediate knowledge of report preparation
  • Intermediate knowledge of record control

  • Advanced computer skills and technical proficiency in Microsoft Office applications
  • Effective verbal, listening and written communications skills
  • Attention to detail and high level of accuracy
