Occupational Summary

The Director of Admissions and Student Records provides leadership and vision in the provision of services and support to students through admissions, recruitment, registration, scheduling, and student record maintenance. This position provides guidance and mentoring to optimize the student experience, student success and assists the College in achieving its mission and vision of service to the community.

Essential Duties & Responsibilities

 

  • Provides excellent customer service and assistance to internal and external customers through walk-in, telephone and email
  • Selects, supervises, trains, motivates and evaluates a team of student services professionals within the Office of Admissions, Student Records, and Recruitment
  • Revises policies and procedures, explaining updates to all stakeholders; develops and implements efficient processes
  • Manages and enhances the Customer Relationship Management (CRM) system for the College; works closely with various departments to identify CRM needs and implement solutions that support departmental goals
  • Assists with the implementation of the College’s Strategic Enrollment Plan (SEP)
  • Leads the planning, designing, coordination and implementation of recruitment initiatives in alignment with the College’s enrollment goals
  • Monitors and analyzes enrollment and workforce data to identify target populations for recruitment and provides flexible, rapid response to emerging opportunities
  • Identifies and achieves goals and targets for increasing and sustaining enrollment through targeted outreach campaigns, one-on-one follow-up with prospective students, developing deeper relationships with high schools, community organizations and local employers
  • Leads a team in facilitating on-campus and off-campus recruitment events
  • Plans and coordinates the admissions, student records and registration procedures for credit programs and courses in accordance with Federal, State and college regulations
  • Directs the admission processes and utilizes technology to establish and enhance admission procedures, policies and workflow to assure smooth daily operations
  • Monitors, tracks and manages applications for admission to facilitate student enrollment
  • Develops, implements and monitors the student recruitment budget and evaluates events and campaigns, ensuring compliance with applicable fiscal restraints
  • Develops and implements processes and procedures in accordance with College policies and state standards to ensure the security, integrity and maintenance of student academic records and records systems  
  • Oversees the development and implementation of strategies for retention, disposition and disposal of student records
  • Works collaboratively with other areas to create and implement student-centered processes and technologies
  • Prepares reports for internal stakeholders and facilitates the provision of data to outside agencies as requested
  • Participates in open houses, new student orientation and various First-Year Experience initiatives
  • Plans, coordinates and assists in the identification of target groups for comprehensive student recruitment and outreach activities on and off campus
  • Develops relationships with community partners, including Craven County Schools and guidance counselors
  • Develops practices to support military and non-military students
  • Stays abreast of current trends affecting college application and enrollment
  • Participates in appropriate committees and task forces as assigned
  • Performs other job-related duties and projects as assigned in support of the College’s mission, core values and goals

 

Minimum Qualifications

Master's degree from a regionally accredited institution of higher learning.

Three (3) years' administrative experience in the admissions and/or records functional area of a higher education institution.

Preferred:
Experience using Colleague or Banner.

Experience within the North Carolina Community College System.

Knowledge, Skills and Abilities

Knowledge

  • Rules, regulations and principles of the North Carolina Community College System, as well as other state and federal laws and regulations regarding admissions and records
  • Family Educational Rights and Privacy Act (FERPA) as it relates to student records
  • Community college admissions, programs of study and registration processes
  • Transfer requirements and articulation agreements
  • College policies and procedures, academic requirements, campus resources, student life and support services
  • Customer service principles

  • Strong organizational, problem-solving and time management skills
  • Interpersonal skills with proven ability to work in a team environment
  • Proficiency in a variety of Window-based computer programs relative to performing responsibilities, including Microsoft Word, Excel and PowerPoint
